Transportation Service Terms

Business-arranged requests only

The service is offered to businesses arranging transportation for employees, clients, and invited guests. The business contact represents that they are authorized to submit the request and remains responsible for accurate information, passenger coordination, payment, and compliance with the written confirmation.

No automatic acceptance

A form, CRM message, estimate, calendar request, or payment does not confirm transportation. Executive Choices must approve the route, service area, schedule, passenger count, stops, vehicle fit, accommodations, availability, and price in writing. A final confirmation number controls the accepted trip.

Payment and refunds

Payment access is sent only after approval. More than 24 hours before pickup: no cancellation charge. Six to 24 hours: 50% of the scheduled minimum. Under six hours or a no-show: 100%. Approved refunds, if any, return through the original payment method and may take additional processing time. Payment-provider fees and timing may be outside Executive Choices' control.

Additional charges

The first 15 minutes of waiting are included; each additional 15-minute period is $25. Each approved additional stop is $25 plus added service time. A $35 same-day dispatch fee may apply. A 25% major-holiday premium may apply; only the higher premium is used when an after-hours price also applies. Approved tolls and parking are billed at actual cost. Excessive cleaning starts at $150, and documented vehicle damage may be charged at actual cost.

Passenger conduct and safety

Passengers must follow lawful driver instructions, use available restraints, avoid threatening or unsafe conduct, and refrain from smoking, vaping, illegal drugs, weapons prohibited by law or policy, and activities that could damage the vehicle. Service may be declined or ended when safety, legality, passenger conduct, road conditions, or vehicle suitability requires it.

Children, luggage, and prohibited items

The business coordinator must disclose children and required child-restraint needs before approval and is responsible for providing a lawful, compatible child seat unless a written agreement says otherwise. Luggage and equipment must be disclosed and fit safely without blocking exits. Hazardous, illegal, leaking, or unsecured items are prohibited.

Accommodations and service animals

Please disclose boarding, communication, service-animal, or other reasonable accommodation needs during the request. The insured vehicle is not equipped with a wheelchair lift. Executive Choices will review whether the trip can be provided safely and lawfully within the vehicle's documented capabilities.

Weather, delays, and force majeure

Pickup times may be affected by traffic, weather, road closures, emergencies, mechanical issues, government action, or other conditions outside reasonable control. Executive Choices may delay, reroute, substitute an approved arrangement, or cancel when safe performance is not reasonably possible.

Virginia law applies except where another law controls. Nothing on this page claims a license, permit, authority number, vehicle feature, or service that has not been separately verified.
